Mandate:  Manage day-to-day operations for a C-Suite Executive. Provide oversight of administrative staff, execute all required tasks and projects of relevance, represent the Executive as needed/assigned and serve as the liaison for the Executive to all staff, community and industry organizations, political notables and media.

  • Provides day-to-day oversight of Executive’s office
  • Oversees sensitive matters and/or situations with diplomacy and discretion
  • Ensures all daily functions are executed properly and in a timely manner
  • Manages Executive’s complex schedule
  • Coordinates and books Executive’s travel and accommodations
  • Schedules and coordinates personal appointments for the Executive
  • Facilitates internal communications
  • Facilitates meetings with all internal departments and Chairs bi-weekly staff meetings
  • Retrieves and reviews corporate documents and reports and maintains records
  • Screens all media requests, schedules and coordinates all interviews and monitors all interviews
  • Coordinates and manages all speaking engagements and special appearances
  • Researches, writes and formats remarks and speeches.
  • Attends meetings and events with and on behalf of the Executive
  • Interfaces closely with the Executive’s business manager and legal counsel to review and finalize contracts
  • Prepares/reviews and edits publication contributions for internal and external audiences
  • Coordinates and manages special events for the Executive to include event personnel and logistics
  • Manages outside vendor agreements and contract terms
  • Oversees the management and/or execution of various projects
  • Hires and supervises office interns
  • Supervise and train any assigned employees.

The Executive Assistant must demonstrate a high level of professionalism, organizational aptitude, judgment, intuitiveness and enthusiasm.  The candidate must possess proven project management capabilities, be detailed-oriented and able to work independently and collaboratively with staff in a fast-paced environment.  Confidentiality and accountability are essential attributes for this position, as is proficiency in problem solving and decision-making skills.


Additionally, the Executive Assistant must exhibit superior communication and research skills and the ability to multi-task effectively. The candidate should also possess a strong work ethic, emotional intelligence and a commitment to advancing the professional goals of the Executive. Education and/or Experience


The candidate must possess a Bachelor's degree and at least seven years of experience, with a minimum of two years supporting a C-Suite Executive, or an equivalent combination of education and experience.
